1. Who we are
Orienta is a trading name of Northreach Education Ltd, registered in England and Wales under company number 17220179.
We provide education guidance and application support. We are the data controller for personal information used to manage our own enquiries, applicant support and business administration.

This notice explains how we handle information about website visitors, applicants, people making enquiries, referrers and representatives.
2. Information we collect
Depending on the support you request, we may collect:
  • Your name, contact details, address and date of birth.
  • Education and employment history, qualifications, certificates, CVs, references and personal statements.
  • Relevant identity, nationality, immigration-status and residence information needed for an application or initial eligibility assessment.
  • Course preferences, availability, preferred location and study arrangements.
  • Application correspondence, interview and test arrangements, offers and enrolment updates.
  • Relevant information about previous study or funding when helping with student finance enquiries.
  • Appointment records, messages, complaints and feedback.
  • Referral details and payment information where a referral reward is due.
  • Marketing preferences and consent records.
  • Technical information collected through our website, such as IP address, browser information and interactions with pages, depending on the technologies in use and your cookie choices.
 
We ask for information relevant to the stage you have reached. An initial enquiry does not normally require a full set of application documents.
Please do not send account passwords, security codes or documents unrelated to your enquiry. We do not need access to your personal student finance account credentials.
3. How we receive and store information
Most information comes directly from you through forms, appointments, email, telephone or messaging.
We use the following services:
  • Tally - Enquiry forms, application information and uploaded CVs
  • Wix and Wix Forms - Website hosting and online enquiries
  • Zoho Forms - Collecting enquiry and application information
  • Zoho Bookings - Arranging appointments
  • Bigin by Zoho - Managing enquiries, application records and follow-up
  • Google email services - Business email and correspondence
  • Google Drive - Storing applicant documents and related records
  • WhatsApp - Communicating with applicants and receiving documents they choose to send
Information may remain in more than one of these services—for example, in an original form submission and an application record.
We may also receive information from a representative you authorise, a referee, or an education provider or recruitment partner involved in your application. Where information comes from another person, we will explain its source and provide privacy information as required.
Being referred to Orienta does not automatically subscribe you to marketing.
4. Why we use information
We use your information to understand your circumstances, discuss options, arrange appointments, support applications and keep you informed.
Our lawful bases depend on the purpose:
  • Requested services: taking steps at your request before entering an agreement, or performing our agreement with you, where processing is necessary for that support.
  • General enquiries, accurate records, proportionate document checks, fraud prevention, complaints and legal claims: legitimate interests in running a reliable service, protecting applicants and resolving problems. We consider your rights when relying on these interests.
  • Referral rewards: performance of the referral agreement where necessary, and legitimate interests for proportionate attribution and fraud checks.
  • Partner commissions: legitimate interests in reconciling enrolments and administering our business relationships.
  • Applicable accounting, tax and data protection duties: compliance with a legal obligation.
  • Optional promotional communications and identifiable testimonials: consent for the relevant activity.
 
We will explain which information is necessary. If essential information is unavailable, we may be unable to complete the relevant assessment or application. Marketing consent is not a condition of receiving support.
5. Sensitive information and support needs
If you request an adjustment, you may choose to tell us about a disability, health condition or other support need. We aim to focus on the assistance you need rather than collect unnecessary medical details.
Where optional support requires us to use or share health information, we will explain the purpose and recipient and ask for explicit consent where appropriate. You can withdraw that consent, although this may affect our ability to arrange that particular assistance. You can also discuss support needs directly with the education provider.
Special-category information requires an additional legal condition beyond an ordinary lawful basis.
Criminal-offence information has separate protections. If safeguarding, legal claims or another situation requires such processing, we must identify an applicable condition and provide any further information required.
 
General application authorisation is not blanket permission to use sensitive information.
6. Who receives your information
Where necessary and lawful, we may share relevant information with:
  • The universities, colleges and recruitment intermediaries involved in applications you ask us to support.
  • Referees or verification contacts, where this is necessary and the process has been explained.
  • The technology suppliers listed above and their relevant service providers.
  • Professional advisers, insurers or authorities where needed for a complaint, legal matter, business administration or legal obligation.
 
We will identify the provider and any application intermediary before submitting your application. An enquiry does not authorise us to send your documents to every partner.
Education providers and some intermediaries are separate data controllers. Their privacy notices explain how they use the information they receive.
 
Technology suppliers may process information on our behalf and may also have separate responsibilities for their own processing.
For referral rewards, we limit any confirmation to what is necessary to administer the scheme. We do not routinely share application documents, funding details or reasons for an admissions decision with a referrer.
7. International processing
Using cloud services can involve storing or accessing information outside the UK, including through support teams and subcontractors.
Tally states that form data is stored in Europe, although optional features and integrations may involve additional suppliers. Zoho describes processing within its international group. Google, Wix and WhatsApp also operate internationally. The locations relevant to a particular service depend on the product, account arrangements and features used.
International transfers must have a valid protection under UK data protection law. Depending on the arrangement, this can include UK recognition that the destination provides adequate protection or appropriate contractual safeguards, with any required assessment of the transfer.

You can ask us which transfer arrangements apply to information held for your enquiry or application and request information about relevant safeguards. Supplier policies supplement this notice; they do not replace Orienta’s responsibilities.
8. How long we keep information
Retention depends on the type of record and why it is needed. We use the following criteria:
  • Enquiries: whether the enquiry remains active, the date of meaningful contact and any follow-up requested.
  • Applications: whether application and enrolment support is complete, and whether outstanding verification, complaints or justified partner requirements remain.
  • Identity and supporting documents: whether the evidence itself is still necessary, rather than simply a record that a check was completed.
  • Commission, referral and accounting records: payment reconciliation, applicable accounting obligations and unresolved disputes.
  • Complaints and legal matters: resolution of the issue, applicable legal time limits and any specific need to preserve evidence.
  • Marketing preferences: your current choices and the minimum information needed to honour an opt-out or demonstrate consent.
 
We do not treat a need to keep accounting records as a reason to retain every passport, CV or supporting document for the same period.
When information is no longer needed, it should be securely deleted or anonymised. Copies held in forms, email, messaging, CRM and document storage must be considered, not just the main application folder. Backup copies may remain until the relevant backup cycle expires.
You can ask us about the retention arrangements for your particular records.
9. Marketing and cookies
Promotional messages are separate from service messages such as appointment reminders and application updates.
Where we seek consent for marketing, we explain the channel and purpose. You can withdraw consent using the unsubscribe option, replying to ask us to stop, or contacting hello@orienta.london. Withdrawing consent does not affect earlier lawful processing.
You can object to direct marketing at any time. We will stop using your information for that purpose. Necessary communications about ongoing support may continue.
We ask separately before publishing an identifiable testimonial, photograph or student story. You do not have to participate to receive support.
Our Cookie Policy explains the cookies and similar technologies used on the website. Where consent is required, it must be obtained before those technologies are used. Visiting the website or submitting an enquiry does not itself give consent to marketing.
10. Eligibility screening and human review
Our eligibility form uses your answer about visitor or tourist status to determine whether you can continue. If you select this status, the form stops and displays a message explaining that our current application routes are intended for applicants eligible for UK home fees.
This is an automatic screening step based on the answer you select. It is not a final determination of your legal status, fee status, admission or student finance eligibility.
If you selected an answer incorrectly, you can correct it. If you are unsure or believe your circumstances need further consideration, contact hello@orienta.london to request a manual review.
All other eligibility enquiries are reviewed manually by Orienta. Final admissions and funding decisions are made by the relevant education provider or funding body.
11. Protecting your information
Access to applicant information should be limited to people who need it for their work. We are responsible for using appropriate organisational and technical measures and reviewing the suppliers we use.
No electronic system can be guaranteed completely secure. Please contact us promptly if you believe information has been sent to the wrong person or accessed improperly.
If you prefer not to send documents through WhatsApp, ask us about an alternative submission method.
12. Your rights
Depending on the circumstances, you may have rights to:
  • Access your personal information.
  • Correct inaccurate or incomplete information.
  • Request deletion or restriction of processing.
  • Receive certain information in a portable format.
  • Withdraw consent where processing relies on consent.
 
You can object to processing based on legitimate interests because of your particular circumstances. Your right to object to direct marketing applies at any time.
Rights are subject to applicable conditions and exceptions. Contact hello@orienta.london to make a request. We may need proportionate information to verify your identity.
Requests are normally free, and we normally respond within one month, subject to the applicable rules on verification, clarification and extensions. We will explain any lawful extension or refusal.

Make a complaint to the ICO
You do not have to accept our response or complete an internal review before exercising your right to contact the ICO.
14. Changes to this notice
We may update this notice when our services or handling of information changes. The dates above identify the current version.
We will explain significant changes where appropriate and seek fresh consent where required. Updating this notice does not itself authorise a new use of your information.
